We’re glad you’re here. This guide will walk you through how to validate your product catalog in Unite Desktop (TRIOS order form) — step by step. Whether you’re setting things up for the first time or just checking that everything is up to date, you’ll find all the essentials here to make sure your catalog is clean, accurate, and ready for use.
💡Why it matters Validating your catalog ensures your items (item names and materials) are displayed correctly to your TRIOS clients in their order form. That means that clients will be able to order from a list of what you offer resulting in fewer mistakes, smoother order creation, and happier customers.
Go to User profile > Settings - If you have access to settings, then you also have access to the product catalog. If you do not have access to settings, then please get help from someone that does.
Step 0.2: How to check and edit product catalog
Go to User profile > Settings > Product Catalog > Edit
Check if you think the items you want to test are there, otherwise add additional items. If you do not know how to, then see here
Step 0.3: Create new dummy mail for testing
Go to Gmail (or other places) - and create a dummy mail
Expand the dropdown for companies to see your company(ies)
Click on the company name of the company you are using in 3Shape LMS to manage the company settings, see example below:
Go to All members tab and view the roles of the members in the list
Step 1: Create a test user/account in a separate team
Go to https://profile.identity.3shape.com/user, and sign-in with a 3Shape account who has the role “Administrator” in your 3Shape account company, see how to check it in step 0.4.
Expand the dropdown for companies to see your company(ies)
Click on the company name of the company you are using in 3Shape LMS to manage the company settings, see example below:
Go to All members tab and click Invite member
Now you need a test email that you put in (could be gmail, or Hotmail). Invite the email and set the role to Administrator (you will need this in Unite). Then click “Invite”
Sign out of the account you are logged in with.
Go to the mail of the test mail and open the invitation from your lab and click sign in. (note: if you have not logged out of the other account you were signed in with, then you need to do that first.)
You will then be redirected to a page where you need to create your 3shape account first, then setup your account and accept the invitation to the company.
Then you should be able to see the company you joined under companies, by expanding the list
Good, now we have added the test mail to your company, now we just have to make sure it is part of the team we will use for sending cases through Unite desktop to 3Shape LMS. To do so you need to:
Go into your company profile again with the test user account and create a team, by clicking Create team button
Add a “team name”, e.g. [Company name] + “clinic test”, and then add “team email”. Use the email of the test user/account you created earlier.
Find the test account/user from the list of members and add that user to the team by clicking the add icon, and then click Next.
Then your test user/account is added to the team that will be used for sending cases via Unite desktop to your 3Shape LMS. Well done!
Step 2: Open Unite and update to latest version to view and send cases to 3Shape LMS
Open 3Shape Unite (either from desktop) or from finding it by searching in windows.
If terms need to be accepted then, accept them:
Click Get started and then Sign in with existing account
Now you can sign-in with your test user/account:
(Optional) If the Account is part of multiple companies, then make sure to pick the right one.
Accept that “My company data is correct”
Accept that “My personal data is correct”
Check the “I have read and understood” and click Register
Create a pin (preferably something simple that is easy to remember) and click Save.
(Optional) Read the information dialog that pops up.
Great! Now we are inside Unite desktop… However, we might need to update the system to be able to send cases from 3Shape Unite desktop to 3Shape LMS. If that is the case, then do as shown below, otherwise go to next step:
Click MoreàSettings à Software versions & Subscriptions à App management
Then click the Check for updates button. (maybe it will show subscription expiration)
This will enable the button Install all updates. Click this. A dialog will appear with “Update installation?”, click Update – this should close unite and start the update of it.
Click OK and sign-in again with your test user/account.
It asks about “Cloud storage”, for now just set it to be Disable cloud storage. You do not need this for validating the product catalog.
Check the “I agree to TRIOS Service Terms” and click Submit
(Maybe optional) If it asks you about “moving your license to the cloud”, then just close that window. It is not needed for validating your product catalog either.
Then it will start to sign-in and check the updates that was just done (might take a while):
Step 3: Connect to your own lab to send cases
When you will be shown a new splash screen (information dialog). Close that and then we just need to send a connection request to your own lab, so you can start sending cases from Unite desktop to 3Shape LMS
Click on More à Store à Labs. Then you can see your current connections (which should be that you do not have any)
Click Add connection and search for your “company name” or the “company email” and then check the right one (please make sure it is your lab). And then click Connect
Now you can accept the request with your normal company account with a user who has admin rights. This can be done through mail or by this link: https://portal.3shapecommunicate.com/cases
Navigate to “Connections” and then accept the request from your internal test team.
Then the connection should be visible in the active list of connections
Great job! Now you are ready to send cases from 3Shape Unite desktop to 3Shape LMS, and therefore, validate the product catalog!
Step 4: Creating a case in Unite and send to 3Shape LMS
Open 3Shape Unite with your test user/account
From the Unite home screen, click Create case.
Select a patient (or create a test patient if none exists).
Choose the Your lab from the overview of “Send to”
Fill in the required information for the case (you can keep it simple since this is only for validation). Choose one of the items from your product catalog that you want to test (e.g., crown, implant, or any item you edited earlier in LMS).
Import scans: If you do not have any - then use these:
You should now see a confirmation message that the case was successfully sent from Unite Desktop to your lab.
Great job — your test case is on its way to LMS!
Step 5: View case from Unite in LMS Case inbox
Go to 3Shape LMS and sign in with your normal lab user (not the test account).
Navigate to Case Inbox from the left‑side menu.
You should now see the case sent from your test account.
Click on the case to open it.
Check that:
The correct item appears
The materials and names match your catalog
No validation or catalog errors appear
If everything looks correct, your catalog is working as expected.

Why do I need a separate test email?
Using a new external email (Gmail/Hotmail/etc.) lets you simulate a real clinic user when testing the TRIOS order form. Your personal company email shouldn't be used because it already belongs to your lab account.
Can I use my current 3Shape account for testing?
No — you should use a new test email. Your existing account is tied to your lab company and won’t behave like a clinic user in Unite Desktop.
How do I know if I have access to the product catalog in LMS?
Go to LMS → User Profile → Settings. If you can see and access Settings, you also have access to the product catalog.
Why do I need to create a test team in my 3Shape company?
A test team allows you to send test cases from Unite Desktop to your 3Shape LMS safely — without interfering with real orders from clinics. This is the only possible way now for you to send cases from within a 3Shape company to yourself.
Do I need an admin role to validate the catalog?
Yes. You need Administrator access in your 3Shape Account company. This allows you to create test users, create teams, and manage company settings.
Why do I need to update Unite Desktop before testing?
To ensure that:

How do I connect Unite Desktop to my own lab for testing?
Inside Unite Desktop: More → Store → Labs → Add connection → Search for your lab → Connect Then accept the connection request using your main admin account.
Do I need cloud storage enabled in Unite?
No. For catalog validation, cloud storage is not required. You can safely disable it during setup.
What if I can’t see my company when signing in with the test account?
Ensure you have:
Invited the test email
Accepted the invitation from the test email inbox
Added the test account to the correct team in your 3Shape company
What if items are missing when I test in Unite Desktop?
This usually means the product catalog in 3Shape LMS hasn’t been updated or published. Double-check your catalog items in LMS and try again.
