3Shape Account in Dental System and Unite: Best practices.

With cloud licensing now being introduced in both Unite and Dental System, choosing the correct 3Shape account for your lab setup has never been more important. Starting from Dental System 2022 and Unite 23.1, a 3Shape account is mandatory for use. While it’s technically possible to link different accounts to each system, some labs have chosen separate accounts for Dental System and Unite - even when installed on the same PC or used in the same lab. This approach can lead to complications as cloud licensing becomes standard. Your 3Shape Account is the primary identifier for your company within the 3Shape ecosystem, enabling services like Cloud License and 3Shape Automate, ensuring seamless integration, and preparing your lab for future features. Using a single account simplifies license management and prevents technical issues in Dental System integrated mode.
This article explains why consolidating to one account matters and how to select the right one for your environment.
3Shape Account in Dental System and Unite. Current implementation.
- Unite platform is following strict rule: a system can only be linked to one company/account.
- Currently Dental System is more flexible: it supports multiple companies/accounts under one installation. However in the future versions it will use the same approach as Unite and therefore it is important to make sure the Lab is using correct 3Shape Account already today.
How to correctly choose single 3Shape account for your Lab.
While migrating to cloud license in Unite and Dental System, it is important to select the most suitable 3Shape Account for your setup. Depending on your situation there can be 4 main scenarios:

1. Both Unite and Dental System are still using the dongle
Before proceeding with license migration:
Check if Unite and Dental System are using the same account already. How to check.
- If they do, there is nothing to worry about. Just update your Dental System and Unite to the latest version and migrate your dongle to the cloud license following instructions in the software.
- If company account used in Dental System and Unite do not coincide, you would need to pick which one you want to keep as your single account for both software.
It is recommended to keep using the account that is used in Dental System. Therefore changing account in Unite will be needed. Contact 3Shape support in case of doubts.
2. Unite is using cloud license while Dental System is still on the dongle.
Before proceeding with Lab license migration:
Check if Unite and Dental System are using the same account already. How to check.
- If they do, there is nothing to worry about. Just update your Dental System and migrate your dongle to the cloud license following instructions in the software.
- If company account used in Dental System and Unite do not coincide, you would need to change your account in Dental System so it is the same as in Unite.
In case you are using Untie to send cases to yourself, please note that this will still be possible even after changing your 3Shape Account in Dental System. Find more details here.
3. Dental System is using cloud license while Unite is still using the dongle.
Before proceeding with Unite license migration:
Check if Unite and Dental System are using the same account already. How to check.
- If they do, there is nothing to worry about. Just update your Unite and migrate your dongle to the cloud license following instructions in the software.
- If company account used in Dental System and Unite do not coincide, you would need to change your account in Unite so it is the same as in Dental System.
Once your Unite licenses are migrated to cloud, this will also link all your Unite cases (if you have any) to your company. Therefore it is important to setup the correct account before migration.
4. Both Unite and Dental System are using cloud license.
Check if Unite and Dental System are using the same account already. How to check.
- If they do, you are already following the recommended setup.
- If company account used in Dental System and Unite do not coincide, this means that your Unite and Lab licenses have been split during the migration and now belong to different 3Shape companies. 3Shape support can help with moving all licenses under one company and switch the account in the software.
How to check which 3Shape accounts are used in my Dental System and Unite.
- Verify current account in Unite:
1.1 Open Unite application
1.2 More > Settings > General > Users
1.3 Account Profile will be displayed under the Сompany as shown on the screenshot below:

2. Verify current account in Dental Manager:
2.1 Open 3Shape Dental Manager
2.2 Press on the profile in the right upper corner as shown on the screenshot below :

How to change account in Dental System.
To switch or to add a new profile press “Add another profile” when opening Dental System. A popup window will open to sign in with 3Shape Account.
Once logged in, make sure that Dental System profile now shows the same 3Shape company as in Unite.
How to change account in Unite.
In Unite select More > Settings > General > Users > press “Reset device”.

This will unlink your device from the previous company and upon Unite startup, you would need to enter 3Shape Account credentials for the company of your choice.
If you are already using Unite 24.1 or higher, this operation will delete all cases that were present in Unite (if any).
Possible errors in Dental System integrated mode.
When Dental System and Unite are using different accounts, you may experience the issues below when opening lab modules in integrated mode from Dental System inside Unite 3.

The errors above are not happening if both Dental System and Unite are using the same 3Shape Account or if both are migrated to Cloud License.
What to do if I am sending to myself (from Unite to Dental System)?
In some cases Labs are using the setup where they are scanning some cases in Unite and then sending those to themselves to receive in Dental System. In this scenario changing the Dental System account to the same as in Unite may seem like a risk as sending from one account and then receiving on the same account is currently not possible.
However, your Dental System account and your 3Shape Communicate account are independent of each other. This means that the account you use to log in to Dental System (profile) has no impact on which account you use in 3Shape Communicate.
Therefore if you need to change your 3Shape Account in Dental System, it will be still possible to use previous (or any other) account for 3Shape Communicate Inbox.

Here is how you can check your Communicate account used to receive cases in Dental System: Open Dental System Control Panel > select 3Shape Communicate under Tools > press Configure under 3Shape Communicate Integration section.
